Junior Sport Trophies 101: A Coach's Guide to Presentation Day

Every season, the same thing happens: presentation day gets locked in, and trophies become an urgent problem two weeks out instead of a planned one two months out. None of it is complicated once you know the sequence, so here's the order to do it in.

1. Lock in numbers before you lock in engraving

Final team lists shift right up until the last few rounds: late sign-ups, withdrawals, a player moving up a grade. Confirm participation numbers as early as your competition allows, but treat engraving as the last step, not the first. Ordering the trophies themselves ahead of time and finalising names closer to presentation day means a late change doesn't blow out your timeline.

2. Decide trophy vs. medal, or both

For most junior grades, medals for every participant plus a small number of trophies for coach's award, most improved and similar categories covers it well. Trophies for every player are more common in older or representative grades. There's no fixed rule here: it comes down to your club's budget and tradition, but deciding early avoids a scramble to "upgrade" the order later.

3. Build in buffer time

A rough timeline that works for most winter and summer club seasons:

  • 8 to 10 weeks out: confirm your trophy/medal style and rough quantities with your supplier.
  • 3 to 4 weeks out: place the order with final quantities and any custom engraving text.
  • 1 week out: confirm delivery or collection, and double-check spelling on any personalised pieces.

If your season runs on a tighter turnaround than that, say so upfront. Most trophy suppliers, us included, can move faster when we know the deadline in advance rather than finding out on the day.

4. Pick a range that scales with your club

Junior sport trophies don't need to be complicated or expensive, but they should feel like part of a consistent club identity year to year. 5. Get the engraving details right the first time

Player and team names, correct grade, correct year: check these against your official team list, not memory. For clubs ordering across multiple grades, a single spreadsheet with one row per trophy, sent ahead of the order, saves back and forth and reduces the risk of a name being mis-spelled on the day.
